Moving to Hungary

Employee Relocation to Hungary

Hungary has become a significant destination for Indian professionals, and Budapest in particular has built one of Central Europe’s largest concentrations of shared-services and IT delivery work. International employers staff those operations partly from India, using the EU Blue Card route, the ICT (Intra-Corporate Transfer) permit framework and Hungary’s standard work-and-residence permit for third-country nationals. For HR and global mobility teams, the question is not whether to run employee relocations to Hungary, but how to run them consistently and compliantly — without absorbing disproportionate management overhead through every tax-number issue, address-card delay or social-security registration query. A well-designed programme answers that question once and applies the answer to every move.

What the India–Hungary corridor adds to programme management

Employee moves from India to Hungary carry a layer of complexity that intra-European moves do not: the India export side, and the fact that Hungary is landlocked. Each employee’s household shipment needs a shipping bill filed on ICEGATE, an AD code registered against the originating port, an accurate inventory and valuation, and export clearance from Nhava Sheva, Mundra, Chennai or Cochin. Handled inconsistently — different vendors, different documentation standards, different levels of rigour — this introduces variance and delay across the programme. Because Hungary has no seaport, every shipment also has to be routed through a northern European or Adriatic gateway and brought overland into the country, which adds a routing decision to each move. At the Hungary end, EU transfer-of-residence relief needs to be applied for consistently and supported by evidence that the employee’s used personal effects were owned at the India address for the qualifying period; missed, that relief can expose the employee to EU import VAT on goods that would otherwise have cleared duty-free. We standardise both ends and the gateway logic so the programme runs the same way for every employee, whether they ship from Mumbai or Kolkata and whether they land in Budapest, Debrecen or Gýőr.

What the programme covers

India export clearance per employee

ICEGATE shipping bill, AD code registration and Indian export documentation prepared for each move — consistently, from whichever Indian port serves the employee’s origin city.

Hungarian import customs per employee

NAV import declaration, EORI where needed, and EU transfer-of-residence relief filed accurately for every Hungary arrival — the employee does not have to navigate Hungarian customs, and neither does HR.

Policy alignment

Every move runs to your mobility policy — volume caps, entitlements, freight-mode guidelines, lump-sum versus managed treatment — configured once and applied consistently across Blue Card, ICT and standard work-permit moves.

Employee-facing coordination

Each relocating professional has one coordinator from the India survey to the Hungary delivery, with a written briefing on the arrival registration sequence — reducing questions back to HR and keeping the employee’s experience calm.

India origin cities we work from

We survey and pack from all of India’s major technology and professional hubs: Bengaluru, Hyderabad, Pune and Chennai for the southern and western tech corridors; Mumbai and Ahmedabad for the west; Delhi NCR, including Gurugram and Noida, for the north; and Kolkata for the east. Shipments are consolidated at the nearest appropriate port — Nhava Sheva or Mundra for western origins, Chennai or Cochin for the south — and the same ICEGATE documentation standards apply regardless of which city the employee ships from. Where the timeline calls for it, air consolidations route through BOM, DEL, BLR or MAA into Budapest (BUD), typically via a European or Gulf hub.

What employees encounter on arrival in Hungary

The first weeks in Hungary follow an administrative sequence that an employer can help orchestrate but cannot bypass. A third-country national arriving to work registers their accommodation and obtains the lakcímkártya — the official address card that confirms the registered residential address and is needed for a wide range of subsequent steps. The employee receives a Hungarian tax identification number, which payroll requires, and a social-security number (TAJ card) that gives access to the state healthcare system once employment and contributions begin. The residence permit itself — Blue Card, ICT permit or standard work-and-residence permit — is processed through the immigration authority, and confirmed accommodation is important from the outset because the address feeds into both the immigration file and the address card. The employee will also be dealing with a new language and an unfamiliar bureaucratic culture while waiting for their household shipment to complete its sea transit, overland leg and customs clearance.

We brief each relocating employee in writing on this arrival sequence and on what to have ready — passport, visa or permit documentation, the lease and landlord details, the employment contract — which reduces the volume of first-week queries that would otherwise land on HR or the global mobility inbox. The employee arrives knowing what to expect; HR is not fielding the same questions ten times over.

How the programme runs

  1. Programme alignment. We map to your mobility policy once: entitlements by grade, freight-mode guidelines, Blue Card / ICT / work-permit handling, reporting format and escalation paths.
  2. Move initiation. HR refers the employee; we schedule the India survey, prepare the ICEGATE export documentation and return a policy-checked quote with the recommended European gateway.
  3. Manage the relocation. Packing, sea or air freight from India, the overland leg into Hungary, NAV import clearance with EU transfer-of-residence relief, and last-mile delivery are coordinated for each employee, with HR updated at each key milestone.
  4. Report consistently. Quotes, inventory records, shipping documents, customs filings and invoices are provided in a consistent format across every move — supporting your finance reconciliation and any internal cost-attribution model.

Whether you are relocating a handful of professionals to Budapest this year or building towards a sustained high-volume programme, the infrastructure is the same and it holds its consistency as the programme scales. Common questions about this move

Contact us
How long does a move to Hungary take?

Transit time depends on the freight mode and the volume. Your coordinator gives you a realistic window when quoting — sea freight is slower and more economical, air freight is faster for time-sensitive moves.

Do you handle customs at both ends?

Yes. Export and import documentation is prepared and submitted on your behalf, and clearance is coordinated at both origin and destination.

Is my shipment insured in transit?

Transit insurance is available on every corridor. Your coordinator explains the cover options when quoting so you can choose what suits the shipment.

How far ahead should I book?

Two to four weeks is comfortable for most international moves, but we regularly handle urgent relocations. The earlier you reach out, the more flexibility you have on dates and freight space.

Will I have one point of contact?

Always — a dedicated coordinator owns your move from first quote to final delivery, including the customs and freight handovers in between.
